Admission Operations Manager

The successful Admissions Operations Manager performs supervisory, hospitality and clerical functions along with oversight of select recruitment systems within the Office of Admission.

Primary job duties include supervision of student employees, hospitality with visitors, handling phone requests, referring students to appropriate University resources, mail processing, data entry into the computer system, handle financial transaction operations of admission procedures if needed, assist in maintaining all office files and promotional materials. Special projects include coordinating the schedule for campus visitors. The person in this role is expected to operate as a team player with all members of the Enrollment Services Team, but specifically the Vice-President for Enrollment Services, Director of Adult and Graduate Admission and the Executive Director of Undergraduate Admission.

Associate Degree required, or applicable experience in lieu of. Bachelor degree preferred.

Undergraduate Admission Counselor

The position will require the ability to fulfill position requirements in an independent and organized manner. Person must be disciplined and self-motivated; be able to work with minimal supervision under strict deadlines; have a high energy level and high degree of enthusiasm. The position will require some overnight travel, some evening and/or weekend activities. The person must have the ability to carry catalog cases weighing up to 50 lbs.

Specific responsibilities include, but are not limited to:

  • Responding to letters and other forms of inquiry from prospective freshmen, transfer students or interested individuals and respond with information concerning Holy Names University. This includes all follow-up activities.
  • Evaluation of students' credentials to determine students' admission status and placement in undergraduate programs at Holy Names University.
  • Advisement of individual students visiting Holy Names University about the academic and extracurricular activities available to them as potential HNU students.
  • Responsible for organizing visits with high school counselors, transfer advisors, teachers or pastors to seek prospective students providing general information concerning Holy Names University and development of working relationships with these individuals.
  • Attendance at University day/night programs or similar activities as assigned, as an official representative of Holy Names University.
  • Achievement of recruitment goals as stated on the Statement of Yearly Goals. This goal is set in consultation with the Director of Undergraduate Admissions and Vice-President for Enrollment Services.
  • Coordination of all efforts to fulfill the strategic plan of the University and Office of Admissions along with support of the Director of Undergraduate Admissions and Vice-President for Enrollment Services in all recruitment and admissions decisions.
  • Observation of ethical standards as determined by NACAC's Statement of Principles of Good Practice and AACRAO's Code of Ethics along with those established by Holy Names University.
  • Completion of reports as assigned by the Director of Undergraduate Admissions and/or Vice President for Enrollment Management.
  • Providing support to the other members of the Office of Admissions.
  • Assign projects to work-study students as needed.
  • Coordination, participation and assistance in all Holy Names University on campus events, registration, and orientation activities as assigned.

Special Education Teaching Assistant - Raskob Institute


Raskob Learning Institute and Day School located at Holy Names University, in the beautiful Oakland Hills, currently has an opportunity for a Special Education Teaching Assistant.

The Special Education Teaching Assistant works with the classroom teacher in providing instruction in all core academic subjects or in (a) specific subject(s) to learning disabled students in a nonpublic school classroom. Provide guidance and assistance to students in following the school routine and in structured academic and less structured social activities. Provide supervision to students on the playground and in the after school program.

Education Requirements: Bachelor’s degree in education, social sciences or related field preferred. Progress towards an advanced degree or teaching credential desirable.

Experience: Minimum of one year experience, preferably in a classroom setting, with students with learning differences.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE:

  • Assist in delivering instruction to students, as directed by the classroom teacher, using multi-sensory techniques, motivational strategies, and prompts to stay on task. Assist in the use of a variety of classroom organization strategies ranging from one-on-one instruction, small group instruction, and whole class instruction.
  • Use classroom management strategies that encourage a quiet, orderly classroom atmosphere.
  • Work cooperatively with a supervising teacher by following direction, communicating effectively and taking advantage of opportunities to develop professionally.
  • Collaborate with colleagues and supervisors in faculty meetings, departmental meetings, and other communication forums.
  • Actively engage in the enhancement of own skills and learning through attending professional development workshops, conferences, pursuing professional reading, etc.
  • Communicate with parents, professionals, and the public in a professional manner, acting as an effective representative of Raskob Learning Institute and Day School.
  • Participate in maintaining an interesting and positive classroom environment through displaying student work, educational materials, and decorations.
  • Participate in the planning and implementing of special events, such as graduation, fieldtrips, holiday performances, cultural presentations, school assemblies.
  • Attend meetings as requested, such as IEP meeting, parent conferences, Student Study Team meetings, etc.
  • Assist in the implementation of behavioral plans as needed for students.
  • Supervise students during lunch and recess, actively engaging in play and athletic activities, handling discipline problems effectively (including communicating with colleagues about incidences), guiding and monitoring the development of positive social skills in students.
  • Supervise students effectively during lunch study, homework study, and after school activities, providing academic assistance, communicating with parents and colleagues, setting limits and creating an atmosphere conducive to learning and recreation, as appropriate.
  • Supervise students effectively during transitions before and after school and between classes.
  • Complete required paper work professionally and meet deadlines.
  • Assist teachers in preparing and grading materials and assignments, providing photocopying and other clerical support as needed.

38 - 40 hours per week, 10 months per year.

Academic Coordinator - Upward Bound Project


The Academic Coordinator is responsible for managing and supervising the Saturday College Program twice a month on Saturdays from October - May. This person will ensure that all students prepare for the SAT, ACT and/or the high school exit exam. The Academic Coordinator will also organize and supervise the tutorial program Monday through Thursday at Oakland High School. This person will track the attendance and academic progress of all students in program via report cards each marking period. This person will also provide college advising for selected participants in the program. This person reports to the Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE:

  • Serve as assistant to the Chair, assisting with ongoing projects, budgetary matters; correspondence and schedule management;
  • Serve as initial contact/reception for the Education Department, assist students, faculty, staff, and visitors by responding to questions, providing information and making appropriate referrals;
  • Assist in hiring and training (work-study) student assistants for the Department;
  • Update and revise an Administrative Assistant Handbook of duties, office procedures/policy manual;
  • Maintain inventory and book keeping throughout the year; process all requisitions and payments;
  • Update Education Department website and perform various perform general administrative assistant and clerical duties.
MINIMUM QUALIFICATIONS:
  • Master's degree preferred or a Bachelor's degree in Math, English, Science, or Counseling
  • Two years college or high school teaching experience
  • Two years tutoring experience working with youth classified as "educationally at-risk"
  • California Teachers' Credential and successful completion of the CBEST exam
  • Working knowledge of the California Educational Frameworks
  • At least one year curriculum design and implementation
  • Valid California Driver's License
  • Previous TRIO experience or experience inspiring and motivating youth using objectives for successful outcomes
  • Prefer person from similar background as target population
  • Working knowledge of graduation requirements, college admission and financial aid and scholarship resources
  • Knowledge of Microsoft Word, Access, Excel, and the Internet

Preference will be given to candidates who share a life experience similar to Upward Bound students and/or who have experience in working with students from disadvantaged backgrounds.

Coordinator for Student Life, In Residence

The Coordinator is a member of the Campus Life Team and will report to the Director of Campus Life and Civic Engagement. S/he will assist with programming and operations in residence life and will coordinate programming and operations in student activities.

 

Essential to the efforts of the coordinator will be the pursuit of student development experiences that are aligned with the vision and mission of the university. This involves commitments to lifelong learning, civic engagement (service to one's community, service to broader social and environmental causes, and commitment to political action), and integrity as a “Good Community”. Successful candidates will have a Master's Degree in College Student Personnel or a related field, two years of professional residence life and/or student activities experience, excellent communication skills, sound problem solving and conflict resolution skills, and the ability to make presentations to student and faculty groups.

This position is a full-time position and living on campus is required. Compensation includes a residence hall studio apartment, participation in the campus dining plan, and a salary range of $26,000 to $30,000.

Head Volleyball Coach (Men's and Women's)

 

Holy Names University in Oakland, CA, is pleased to announce a search for a Head Volleyball Coach, to be assumed on or before June 1, 2008. This position is part-time. We will consider candidates who can coach both the men's and women's teams; however, this is not a necessary qualification for consideration.

Sports Information Coordinator



The Sports Information Coordinator reports to the Director of Athletics and Recreation an is responsible for sports information at Holy Names University.

Functional:

  • Key contact for sports information
  • Media/public relations efforts for all teams
Administrative/Student Success:
  • Provide administrative and analytical support to the Director of Intercollegiate Athletics and Recreation as necessary and appropriate.
  • Participate in the development and implementation of a comprehensive intercollegiate athletics program that is well integrated into the academic and campus life cultures of the university.
  • Confer with and provide assistance to higher level university personnel as necessary and appropriate.
  • Provide articulation, advocacy, and problem resolution with students as they interact with each other, faculty, the university, and the community.
  • Conceptualize student development measures and competencies.
  • Respond to other duties as assigned (statistics, reports, special projects).

Specific Responsibilities :

  • Create and develop press releases, game-day programs, feature articles and post-season media guides for all teams;
  • Maintain the athletic department's web site – including updating each team's coach/player bios, player statistics, game stats, etc.;
  • Gather and maintain statistics for all athletes and teams;
  • Coordinate and supervise game-day stat crew and scorer's table staff;
  • Assist in coordination of media/public relations efforts for 10 varsity teams.
  • Assist the Events and Facilities Coordinator in hiring, supervision and scheduling of student staff, as well as, game-day Dakstats statisticians and scorer's table staff.
  • Assist in the production of or creation of press releases, game-day programs, feature articles and pre and post-season media guides for all teams.
  • Oversee and assist in the maintenance of the athletic department web site.
  • Gather and maintain statistics for individual athletes and teams.
  • Complete and submit applications for honors and awards for athletes and coaches as warranted.

Requirements:

  • Bachelor's Degree preferred. The candidate must demonstrate strong communication and organizational skills and must be able to work effectively with staff, faculty, and other members of the University community. The candidate must be willing to work evenings and weekends as needed to cover sporting events and activities. 

Position Term and Compensation -
10 months, temporary, non-exempt, part-time.

Campus Safety Staff Position

Temporary, Part-time, Non Exempt

Position Summary:
Our Campus Safety staff is responsible for interacting with the HNU community on a daily basis and for providing safety and security for all members of the HNU campus and residence halls; ensuring compliance with policies and procedures by practicing good observation, reporting, prevention, and protection skills. The Campus Safety staff provide 24-hour service for the University community responding to service calls, assisting in the protection and safe-keeping of University property, locking and unlocking buildings, monitoring the flow of traffic on and off campus; monitoring on-site camera surveillance, assisting with special events, and perform other duties as required.

Responsibilities Include:

  • Patrol and inspect all University property, ensuring the safety and well-being of the campus, while following and enforcing prescribed policies and procedures. Watch for suspicious persons entering, exiting, or loitering around the campus grounds. Conduct walk-through observations of entire campus, moving through interior and exterior rounds of buildings. Assist in the protection and safe keeping of all University assets including buildings, vehicles and other property. Lock and unlock buildings, including windows, doors, etc. according to a set schedule, and arm and disarm alarms as directed.
  • Promote safe work practices. Ensure compliance with OSHA standards and preventative measures. Enforce safety programs and policies. Confer with appropriate persons concerning the development, revisions, and recommendations of emergency procedures as needed.
  • Follow communication procedures of the department which includes, but is not limited to: receiving phone calls (emergency and routine business calls), and responding to requests for service. Evaluate and determine from conversations with callers, the urgency of the request and the proper course of action. Maintain all equipment, operational systems and program documentation related to the communication procedures.
  • Prepare reports, in conformity with established procedures on all matters. Maintain customary books and records, as well as those designated by a supervisor or upper management. Make prompt, accurate and necessary entries of official business in department records in the manner prescribed for keeping such records. Track all medically treated and non-treated injuries, as well as emergency responses on campus grounds.
  • Transmit all orders, instruction, information and data to necessary parties in a prompt and appropriate manner.
  • Receive documents and report complaints to appropriate University Officials.
  • Consult daily with a designated supervisor, informing the supervisor of the status of Campus Safety concerns and problems, as well as any other information concerning safety and security matters. Interview witnesses, victims and persons in any manner connected with safety and security concerns of the University.
  • Monitor access and activities of housekeeping, contractors, vendors, and caterers as well as the general flow of traffic on and off campus to ensure that no unauthorized personnel are admitted and that all authorized students, faculty, staff, alumni and visitors are following University policies and procedures to include, but not limited to, displaying proper University identification and adherence to the University drug and alcohol policies.
  • Point of contact for Lost and Found Items and Reports.
  • Handle incidents of undesirable behavior with tact and appropriate firmness.
  • Coordinate crowd control and security measures for athletic and other campus events.
  • Write parking citations.
  • Assist with special events as needed.
  • Provide service, assistance and information to staff, faculty, students, visitors, or the general public as required.
  • Perform other duties as required.
