Commencement Guide for 2013

Dear Student:

Congratulations! You are almost there. Please review the following information carefully to make certain you are ready to graduate this coming spring. Do not hesitate to ask questions, but also know that attending the meetings and meeting the deadlines is your responsibility.

The information you need to know, and the things you need to do, are listed below:


Academic Attire

Academic attire consists of black gown (size determined by height and weight), mortar board cap (one size fits all), tassel and degree-specific hood (or a stole for Credential and Certificate students). Learn more...

You must submit your information for academic attire no later than April 3, 2013. This form can be completed on the Herff Jones website after you have attended one of the graduation meetings. If you do not complete your academic attire request by April 3, you may submit a late request, but you will be charged a handling fee that will be billed to your account. Please contact Heather French at french@hnu.edu or by telephone at 510- 436-1294.

You must have academic attire in order to participate in the Commencement activities. Your graduation fee covers the cost of the attire.

Your academic attire will be available for you to pick up between May 6-14 in the Hawk Shop during normal business hours. Attire will be available for pickup at the rehearsal on May 15 for those unable to pick it up prior to the rehearsal. The shop is willing to work with you to set up special arrangements if you need to have a friend or colleague pick it up on your behalf. Please contact the Hawk Shop for any such arrangements (510-436-1576).

Academic attire is a keeper. You do not have to return your cap, gown, tassel or hood after the Commencement Ceremony.

Requirements and Deadlines to Participate in the Ceremony

While encouraged, participation in the ceremonies is not required.

  1. File a Candidate for Program Completion Form with the Student Resource Center in Hester 11. (Click "services and forms" and select the appropriate candidate for degree form) and receive confirmation of eligibility from the Registrar’s Office.
  2. Receive confirmation of eligibility from the Registrar's Office.
  3. Order academic attire (see above); complete Commencement Registration (on portal) and card for Grad Images Photos (at info meeting).
  4. Make sure that your financial account is paid in full or that satisfactory arrangements have been made regarding your balance by May 1.
  5. Return all library books.
  6. Attend rehearsal on May 15.
  7. Check in 40 minutes before Commencement Ceremony.

Announcements

Announcements are personalized for each graduate with your name and degree. Although it is customary to announce your achievement to family and friends, traditional announcements are optional and you may choose to purchase these or not. You are responsible for ordering and paying for your own announcements online with Herff Jones. You may order them any time after you have received your confirmation of eligibility from the Registrar's Office.

Jessica Escobar, the Student Affairs Coordinator located in the Admissions Office in Founder’s Hall, will have a limited number of generic announcements available at $1.50 each for those students who need only 1 or 2 announcements. Rings

The Josten’s representative will be taking orders for rings in the bookstore on February 1st from 11:00 a.m. to 4:00 p.m. and February 14th from 12:00 p.m. to 5:30 p.m.

Pictures


Grad Trak (formerly Bob Knight Photos) – A professional photographer will be on campus on Saturday, March 23, 2013 between 10 a.m. and 3:00 p.m. to take formal pictures of students who are graduating.

  • Additional pictures will be taken at the graduation ceremony. Information about these services will be provided at the Commencement meetings.
  • Individual graduation pictures - Saturday, March 23, 2013, 10 a.m. - 3:00 p.m. (Montclair Room). To schedule an appointment for a formal picture, please contact Andrea Melrose by Wednesday, March 20, 2013.
